Lewes FC Vets – Volunteering & Club Roles

Lewes FC Vets and the Old Quality League are run entirely by volunteers.
Everything from fixtures and finances to poems, cones and tours happens because members step forward to take responsibility.
The club works because those responsibilities are actually owned.

1. Leadership Roles

1.1 Chair (Weekday Football) – Paul Harley

Leads the delivery of Tuesday, Wednesday and Friday football and the facilitation system.

Key responsibilities

  • Set and manage the facilitator rota (3-month cycles)

  • Lead the Facilitation Station WhatsApp group

  • Confirm weekly facilitator coverage (Mondays)

  • Ensure sessions run reliably and to a consistent standard

  • Support facilitators and intervene where needed

1.2 Co-Chair (Club Oversight & Culture) – Vacant

Works alongside the Chair to hold the overall shape, rhythm and tone of the club.

Key responsibilities

  • Maintain a light-touch overview of the whole system

  • Nudge key volunteers into the yearly timetable (especially Feb–June)

  • Notice gaps, drift or unclear ownership

  • Support the overall tone, ethos and culture of the club

  • Act as a steady presence within the Boot Room

In practice
This is not a heavy admin role. It exists to help hold the overall shape, rhythm and culture of the club, to notice drift early, and to keep the yearly timetable moving without centralising everything in one person.

1.3 Partnerships Lead – Tom Lewith

Maintains relationships with Lewes FC, Lewes Football Foundation and external stakeholders.

Key responsibilities

  • Attend LFF stakeholder meetings

  • Maintain communication with Lewes FC directors and CEO

  • Protect 3G access and future allocations

  • Represent the club in external discussions

  • Protect the club’s position in conversations about facilities, access and continuity

1.4 Treasurer – Tim Harris

Manages all financial activity and financial stability of the club.

Key responsibilities

  • Manage income and expenditure via Metro Bank

  • Reconcile Spond payments

  • Maintain financial records and reserves

  • Prepare annual accounts

  • Support budgeting and financial planning

2. Operational Roles

2.1 Secretary – John Masterson

Turns fixtures and sessions into reality.

Key responsibilities

  • Book referees (usually Mon/Tues for Sunday fixtures)

  • Liaise with opposition teams and the league

  • Manage SSFL email and fines

  • Book changing rooms via IDVerde

  • Publish Tuesday and Friday session announcements

2.2 Fixtures & Calendar – Stuart Fuller

Maintains the live club calendar.

Key responsibilities

  • Keep Spond updated (Spond = single source of truth)

  • Track SSFL fixtures and changes

  • Resolve clashes across all football activity

  • Communicate timings clearly

2.3 Membership Lead – Chas Newman

Manages onboarding, membership and player relationships.

Key responsibilities

  • Add new players to Spond (drop-in group)

  • Set expectations and onboard properly

  • Manage transition from drop-in to member

  • Maintain membership levels

  • Act as a relational point of contact

3. Welfare & Culture Roles

3.1 Safeguarding & Conduct Lead – Vacant

Oversees behaviour, safeguarding and formal conduct issues.

Key responsibilities

  • Act as point of contact for serious concerns

  • Support conflict resolution beyond informal level

  • Convene mediation or Boot Room discussions where needed

  • Apply safeguarding and misconduct policy

  • Ensure behaviour standards are clear and enforceable

In practice
Most issues resolve themselves. This role exists for when they don’t.

3.2 Social Lead – Vacant

Leads the club’s social life and key community events.

Key responsibilities

  • Organise the Christmas party

  • Lead the annual tour (usually May Bank Holiday)

  • Organise Pan Siro

  • Support wider social events (barbecues, gatherings, friendlies)

  • Maintain the club’s social culture and inclusivity

  • Ensure the club remains a community, not just a set of football sessions

This role ensures the club remains a community, not just football sessions.

4. Equipment & Technical Roles

4.1 Kit Procurement – Richard Harding

Sources and orders club kit.

4.2 Equipment Lead – Nick Calvert

Maintains all football equipment.

Key responsibilities

  • Manage balls, cones, pumps, first aid kits and storage

  • Maintain quality and availability

  • Keep the container organised

4.3 VEO Manager – Wayne Liddle

Manages filming and access to VEO.

5. Football Roles (11-a-side)

Applies to Firsts, Select and Masters.

Core responsibilities

  • Select squads from available players

  • Ensure all players are registered by the required deadline

  • Publish teams by Thursday where possible

  • Balance competitiveness, fairness and game time appropriately

  • Maintain relationships with referees, opposition and players

  • Report results and key information back into club channels

  • Ensure equipment, facilities and first-aid arrangements are in place

6. Old Quality League (where running)

(O45s & O55s)

Responsibilities

  • Squad selection via WhatsApp / Spond

  • Participation in draft (if applicable)

  • Read or nominate poem

  • Uphold club culture and FA conduct

7. Facilitators

Facilitators run the weekly football sessions and hold the culture on the pitch.

Key responsibilities

  • Pick balanced teams

  • Welcome new players

  • Manage numbers and late arrivals

  • Set up and pack away equipment

  • Read or adapt the poem

  • Maintain tone, behaviour and standards

8. Digital

Web & Social – Nick Calvert

Key responsibilities

  • Manage the website

  • Publish results and content

  • Maintain branding

  • Promote events and activity
